Catalog Editing

The Office of the Registrar is responsible for updating the University catalog each year and for meeting the goal of publishing the new catalog by July.  The Registrar’s Office notifies colleges and departments in Curriculog to review their information in the catalog and processes edits as they are received.  The annual review process begins in March and is completed through Curriculog.  Colleges and departments are required to approve the current catalog page or submit edits on the Curriculog Catalog Review proposal.  If edits were necessary, the updated information is then returned to the College/Department for final Curriculog approval.  After all approvals are provided, the catalog is published.

CATALOG REVIEW PROCESS

The annual catalog review process begins in early March and is completed via Catalog Review proposals through Curriculum that are initiated by the Registrar’s Office. Colleges and departments are required to provide their approval for any current catalog page(s) attached to their proposal, or submit suggested edits during the Catalog Review period.

If you are no longer responsible for this information, please notify our office by sending an email to catalog@augusta.edu so we can reach out to the appropriate person.

WHO EDITS WHAT?

The Catalog Review proposals are routed in Curriculum to the appropriate individuals responsible for reviewing the information. Typically, this is the head of the department, college, program, or unit, or another individual who has been deemed the point of contact during past Catalog Review periods.

If a proposal is sent to the an individual no longer responsible for reviewing the catalog content, we request that they notify the Registrar’s Office by sending an email to catalog@augusta.edu so we can reroute the proposal to the appropriate person.

WHAT CAN BE EDITED?

During the Catalog Review period, only editorial changes or corrections may be offered for inclusion in the new, upcoming catalog to be published. Editorial Changes refer to wording in a program's overview, instructional text, and general college/school/department information which do not alter course or program requirements in any way. Other editorial changes include: contact information, faculty/staff changes, or URLs/links.

Editorial Changes

The following items are not editorial submissions and will not be considered during review:

  • Any change to course description, course title, or credit hours
  • Any change to a requirement for a program, such as major courses, concentration courses, elective courses, minimum GPA or grade, admission requirements, credit hours, etc.

These types of changes MUST be submitted in the software system Curriculum on a Course or Program Revision proposal by the established deadlines.

Corrections

Previous changes approved through Curriculum should be accurately reflected on any and all catalog pages. However, sometimes an approved change could be missed or misunderstood. The Catalog Review period is the opportunity to proofread all catalog pages, ensuring all approved changes have been made appropriately and accurately. Where possible, it is best to provide the URL for Curriculum approval that clearly indicates where the changes have already been approved.

CATALOG DEADLINES

ACADEMIC DEPARTMENTS

Example: Allied Health Professions, Biological Sciences, English and World Languages

Academic Departments are notified annually in early March to review their catalog information in Curriculum during the Catalog Review period. The content to review typically consists of introductory information, contact information, and degree program requirements for all programs offered by the department.

Any attached catalog pages must be reviewed and approved as is or with suggested edits by the deadline of April 1. The Registrar’s Office will make edits and, if necessary, send the edited pages back for a final review with a deadline of April 30.

If an academic department has substantive changes to make to a course or program requirements, these should be submitted through Curriculum by October 1 to ensure they make it through the entire approval process workflow to be included in the following year’s catalog (see published Curriculum deadlines).

ADMINISTRATIVE DEPARTMENTS

Example: Bookstore, Police Services, University Libraries

Administrative Departments and Units are notified annually in early March to review their catalog information in Curriculum during the Catalog Review period. The content to review typically consists of a description of their area, as well as contact information. Catalog pages must be reviewed and approved in Curriculum by April 1

 THE AUGUSTA UNIVERSITY DEADLINES ASSOCIATED WITH THE CATALOG:

MARCH 

Catalog pages are sent to academic and administrative units in Curriculum. The most current catalog pages are attached to a proposal, which is then launched and routed to the appropriate areas and individuals for review and edits.

APRIL 1

All edits must be attached to the Curriculum proposal, approved, and returned to the Registrar’s Office. This is especially critical as it allows the Office of the Registrar time to process any edits and, if necessary, return to the departments for final approval in time for publication.

APRIL 30 

If applicable, academic/administrative units provide final approval of catalog pages.

JULY 1

Catalog is published for the academic year.
